Enabling modern “Share” provision on Dashboards and Views within Dynamics 365

As we all already know the significance of the ability to share any sort of data/information with other users in the system, in general, Dynamics 365 allows users to share the records of the entities with other users across the system. Taking this further, In the wave 1 rollout of Microsoft D365, this ability to share the information has been leveled up to now allow users to share not just the records but also the Views and the Dashboards individually. We will look through the quick demonstration of how this can be achieved below –

First and foremost, we indeed need to enable the appropriate option to get started with this as seen below –

Go to: Admin Center >> Environments >> Pick the environment >> Settings >> Product >> Collaboration.

Simply toggle this option on and save the changes –

Once done, we are good to proceed further to see the above step in action –

You can use this on/for any entity views/Dashboards across any apps, we will do it for “Sales” in this illustration –

Navigate to: Apps >> Sales Hub >> Accounts >> Stay on the view.

You will notice a “Share” option in the right top corner as shown in the below image. There are two ways you can share these views/dashboards with others in the system-

1. you can either choose to “Email” the link of the views/dashboards or

2. simply use the “Copy” option for sharing –

Using the “Email link” option –

Select the users/Teams that you want to send/email this link to (recipient). In addition, you can put a message for convenience –

Once clicked on “Send”, an email window will auto-open with the shareable link of the entity view/dashboard as a body of an email and can be sent/shared with the user.

Using the “Copy link” option-

Upon clicking this option, the dashboard/views link will automatically be generated and copied which can easily be shared further with users.

Confirming the action –

So, the above dashboard can be shared via this link.

Please Note:

In the case of sharing the personal views/dashboards, there would be an additional option that we have to take care of –

Below is the personalized view that user “Harison” has created.

You need to select the other user with whom you wish to share this view, and grant him the appropriate permission for sharing –

The other user “Ross Barkley” will be able to see this view only upon performing the above action, it is validated as shown below – Harison’s personalized view has successfully been shared with “Ross Barkley” –

Conclusion

As a bottom line, with the help of this enhancement, it has become far too easy to share the Views/Dashboards with other users in the organization for their easy access in simple and quick clicks to help work productively.
